This policy applies to all users of AutoSortPro, including those who use:
- The standalone desktop application installed on your computer
- Cloud-based backend services required for AI tagging and file storage
- Integrations with third-party services such as Obsidian
2. Information we collect
We collect the following categories of personal data:
- User files: files you provide for tagging and processing
- Generated metadata: tags, summaries, and related AI outputs
- Account information: email address and credentials used for authentication and integrations
- Usage data: logs and error reports used to improve service reliability
We do not sell your personal information.
3. How we use your data
We use your data solely to:
- Process and categorize files via third-party AI, including OpenAI
- Store and manage your processed files
- Send organized results to your selected platform, such as Obsidian
- Improve service quality and support reliable operation
4. Data storage and processing
Processed files are stored in secure cloud storage provided by AWS S3.
- AI processing is performed through API calls to OpenAI or another model provider
- You can delete files through the app or by contacting us
- When exporting to Obsidian, files are copied from cloud storage to your local vault’s attachments folder
5. Legal bases for processing (GDPR)
Under GDPR, we rely on the following legal bases:
- Consent: when you voluntarily upload files and enable integrations
- Contractual necessity: to provide AutoSortPro features
- Legitimate interest: to maintain service integrity and improve features
6. Your rights
European Union residents may have rights under GDPR to:
- Access the personal data we hold about you
- Request correction or deletion
- Object to or restrict processing
- Withdraw consent without affecting prior processing
- File a complaint with a local data protection authority
California residents may have rights under CCPA to:
- Know what personal data we collect and how it is used

- Request deletion of personal information
- Opt out of data selling; we do not sell your data

7. Data retention and deletion
- We retain processed files in cloud storage until you delete them
- Existing users may export through the app until September 10, 2026
- From September 10 through October 10, users may request an export by email
- After October 10, stored AutoSortPro data will no longer be accessible and will be deleted according to our shutdown process and applicable legal requirements
- For local users, including Obsidian users, no data is retained beyond what is stored on the device
- You may request deletion of retained files and processing history by emailing us
8. Security measures
We implement commercially reasonable technical and organizational measures, including:
- Secure transmission through HTTPS
- Secure cloud storage with access controls
- Limited internal access and error logging
- Use of AWS infrastructure with global compliance certifications
No system is perfectly secure. Please do not upload highly sensitive personal or confidential material.
9. Children’s privacy
Our service is not intended for people under 18. We do not knowingly collect data from children.
10. International transfers
We may process data on servers in the United States and other jurisdictions. If you are outside the U.S., you consent to your information being transferred, stored, and processed in the U.S.
11. Changes to this policy
We may update this policy occasionally. We will notify users of significant changes through the app or email. Continued use of AutoSortPro means you accept the updated policy.
